This definitely isn’t your average coordinator job.

How many roles combine events, retreats, wellbeing, 24 acres of countryside, around 20 rescue horses and the launch of a mobile sauna?

Eat Sleep Ride is a registered Scottish charity (SC053818) and ABRS-accredited riding school based at Quarry Farm, an off-grid, solar-powered equine sanctuary built on 24 acres of reclaimed former landfill. We work with young people, families, refugees, care-experienced people and those facing rural isolation across the Scottish Borders, East Lothian, Edinburgh and Northumberland.

And now we’re doing something new. We’re expanding the use of Quarry Farm to offer retreats, events and wellbeing experiences alongside horses, delivered with a team of associate practitioners, and launching a mobile sauna this autumn. We’re looking for someone to help bring it all together.

The role

This is a varied, hands-on position for someone who is organised, great with people and happy to get stuck in.

You’ll coordinate the events, retreats and sauna programme, looking after everything from initial enquiries and bookings through to making sure guests have a great experience when they arrive at Quarry Farm. You’ll also have the chance to shape this new side of Eat Sleep Ride from the beginning and develop it into an income stream that helps fund the charity’s wider work.

Your day-to-day will include:

  • Coordinating events and retreats from initial enquiry through to delivery and follow-up
  • Managing bookings, availability and online listings across our digital platforms
  • Arranging and coordinating our freelance practitioner team
  • Preparing the site and spaces ahead of events, including risk assessments
  • Producing the day pack and retreat information for each event
  • Welcoming and hosting guests on the day; handling payments, feedback and repeat bookings
  • Supporting the installation and launch of the mobile sauna (September–October 2026)
  • Setting up safe operating procedures, the sauna booking system and customer information
  • Helping establish a local sauna membership scheme
  • Coordinating volunteers supporting sauna sessions
  • Managing the day-to-day running of the sauna: heating, cleaning, stock, maintenance and guest safety
  • Helping grow bookings, awareness and income from the new programme in line with targets
  • Could this be you?

    There isn’t one particular background that makes someone right for this role. You might currently work in events, hospitality, visitor attractions, retreats, tourism, bookings or another customer-focused environment.

    What matters more is that you’re:

  • Very organised and comfortable juggling different bookings, dates and people
  • Friendly, confident and welcoming
  • Practical and happy to roll your sleeves up
  • Comfortable working independently and using your own initiative
  • Confident using online booking systems, spreadsheets and email
  • Happy working on a rural site
  • Willing to work some evenings and weekends
  • Committed to safeguarding and inclusive, trauma-informed practice
  • You’ll also need a full driving licence and access to a vehicle, as the site is rural with limited public transport.

    Experience of wellbeing, retreats, nature-based activities, marketing, social media, charities or small businesses would be useful, but isn’t essential. Nor do you need to be a horse expert – an understanding of horses would help, but we can teach you how to work safely around the yard.

    What’s on offer

    Aside from a fairly unusual place to come to work every day, you’ll have the opportunity to help develop something new from the very beginning. You’ll be joining a small organisation with a big purpose, working from 24 acres of countryside alongside around 20 rescue horses and a team that has built the place from nothing.

    Training and development will be provided, including safeguarding, first aid and equine safety.

    The details

    Hours: 21 hours a week, worked flexibly – typically across three days, to be agreed with you. Some evening and weekend working, mainly around retreats and sauna sessions.

    Rate: £16 an hour

    Contract: Fixed term, 7 months (funded post). We aim to extend if income targets are met or further funding is secured.

    Appointment is subject to PVG scheme membership and two satisfactory references. Child protection awareness training will be completed during induction.
